What your institution can see
Some hospitals and health systems roll HelloAI out to their staff. When that happens, your account is linked to that institution and an administrator there can see part of your learning record. This page says exactly which part, so you are not guessing.
The short version: they see what you have finished and how far along you are, because that is what they are relying on you for. They do not see how you did, what you wrote, or what you thought of it.
You are told when the link is made. We email you, and the link is shown on your profile page for as long as it lasts. Nobody is linked quietly.
What they can see
- Your name, the email address on your HelloAI account, and your job title if you gave us one.
- Which HelloAI modules and courses you have finished, and the date you finished each one.
- Certificates you have earned, and whether they are still valid.
- How far through a course you are when you have not finished it yet, shown as a percentage, so they can see who is on track with training the institution is counting on.
- What you had already finished before the link was made.
What they cannot see
- Your quiz answers, your scores, or how many attempts you took.
- Anything you typed into an exercise or a reflection.
- Feedback you gave us about a course, or anything you told a HelloAI assistant.
- How long you spent, when you signed in, which videos you watched or which pages you read.
- What you told us about yourself when you joined: your date of birth, your gender, how you rated your own AI knowledge, or what you said you wanted to learn.
- Anything at all about learning you do after the link ends.
What happens if you leave
When the link ends, the institution stops seeing anything new from that day. It keeps the record of what you had already finished while the link was in place, in the same way a training record you earned at work stays on your file after you move on. That record is what lets them show a regulator or an auditor that their staff were trained.
Your HelloAI account is yours. Your progress, your certificates and your history stay with you, and you can carry on exactly as before.
If you delete your account
Deleting your HelloAI account removes your account from HelloAI. The institution keeps the record of what you completed while you were linked to it, because that record is theirs and is what they rely on for their own training obligations. Everything else goes.
If something looks wrong
If you are linked to an institution you do not work for, or the link should have ended, write to support@helloaiprofessional.com and we will look into it. You can also see and download everything HelloAI holds about you from your profile page.
