1. Data Collection and Management
What information we collect
When you register for a HelloAI module through Thinkific, we collect the information you provide on the registration form, including your name, email address, country of residence, age, gender, educational and employment background, and phone number.
Email Communications
If you contact us via email, we collect your email address and any additional information you include, such as your name or phone number. If you subscribe to our newsletter or updates, we collect your name, email address, and preferences.
Thinkific Platform
HelloAI uses Thinkific as its learning management system. Personal data submitted during registration, including your name, email, and course activity, is stored and processed by Thinkific. Their privacy policy is available at: thinkific.com/privacy-policy.
Audio and Video Presence at Online Events
We record all HelloAI online modules to share materials with participants who could not attend live. Recordings may also be used for marketing purposes (e.g., on LinkedIn, Instagram, and our website) and for future educational activities. By turning on your camera or microphone, and by providing your name or voice during live sessions, you consent to the use of this material for these purposes.
2. Data Retention
We retain your contact information to inform you about upcoming HelloAI programs, events, and community news. If you participated in a HelloAI module co-funded by EIT Health (in 2018–2022), your data may be stored for up to 2.5 years after the program’s conclusion for audit purposes.
For current programs not affiliated with EIT Health funding, your data will be retained only as long as necessary for the purpose it was collected, or until you request deletion.
You may request the erasure of your personal data at any time by writing to: helloai.professional@gehealthcare.com.
3. Certificates
After successfully completing a HelloAI module, you will receive a Certificate of Completion. This document includes your name, the module completed, and the time period in which it was completed. It is signed by HelloAI's partner institutions.
If you are a student enrolled in academic studies, you may request a certificate of equivalence from KTH Royal Institute of Technology, confirming that the HelloAI Professional module is equivalent to 7.5 ECTS credits. You can submit this to your university for possible academic recognition.
4. Sharing Your Data
Your data may be shared with members of the HelloAI consortium (HVL, GE HealthCare, LEITAT, KTH, UM, COCIR, UNIDEB) for:
- Evaluating your application
- Issuing certificates or credits
- Internal reporting and program evaluation
- Communications about current or future HelloAI offerings
5. Your Rights
You have the following rights concerning your personal data:
- To access the personal data we hold about you
- To request correction or deletion of your data
- To restrict or object to the processing of your data
- To request transfer of your data to another party
- To withdraw consent at any time (without affecting prior lawful use)

6. GDPR and Access Requests
Under the General Data Protection Regulation (GDPR), you may request:
- What categories of data we process
- The purposes of processing
- The recipients of your data
- How long we store your data
- The source of your data, if not collected directly from you
- Whether your data is transferred outside the EU
- Whether automated decision-making is involved
Requests are free of charge and will be addressed within 30 days.
7. Policy Updates
HelloAI may update this Privacy Policy as needed to reflect changes in regulation or in our operations. Updates will be posted on our website and communicated by email where appropriate.
By providing us with your personal information—including sensitive information such as gender or health—you consent to its collection and use in accordance with this Privacy Policy.
